About the project

Vision Smart Management is a custom-built digital solution developed to modernize and streamline the internal compensation and claims audit process for organizations. Designed to replace inefficient, manual workflows, the platform brings structure, clarity and automation to claims management, insurance tracking and reporting – all from one centralized application.

Built for usability and flexibility, the app serves both admin and employee roles with specific interfaces and access rights, while ensuring sensitive data remains secure. With built-in email alerts, dynamic customization and intuitive dashboards, it allows teams to focus on efficiency, not paperwork.

Challenges

Here are some of the challenges that we faced until release:

Need for digitization: The compensation audit and claims management process was largely paper-based or managed through scattered tools like spreadsheets and email. This led to slow processing times, inconsistent record keeping and increased potential for human error.
Data privacy: The absence of a secure role-based system made it difficult to separate sensitive information between admin and employee views, raising potential privacy and compliance risks.
Data centralization and reporting: The application needed to effectively centralize collected data while providing comprehensive analysis tools, including the ability to import data from Excel format and generate visual reports like graphs and tables for presentations and also email notifications.

Solution

To tackle these challenges, we designed the Vision Smart Management application with several key features:

Role-based access: Separate dashboards for admins and employees ensure that access to sensitive data is strictly controlled, while still maintaining an intuitive user experience for both roles.
Smart imports and digitization: The app supports the import of existing Excel-based claim and insurance data, allowing organizations to migrate their records without data loss or downtime.
Dynamic customization: Users can personalize and configure the platform with custom entities including partners, insurance companies, claim types, rent cars, payment methods and more – ensuring the app fits the organization’s real-world workflow, not the other way around.
Centralized data management: All inputs are centralized and stored in a structured database, enabling one-click generation of contracts in PDF format and simplified access to audit-ready documentation.
Analytics & notifications: Users benefit from visual insights through real-time graphs and tables, while automated email alerts help track expiring car insurances and notify teams of claim status updates.

Results

The platform is now live and in daily use, drastically reducing the time and resources needed to process claims and track insurance statuses. The digitization of workflows has eliminated redundant manual tasks, improved the speed and accuracy of data entry, and created an accessible knowledge base for auditing and performance tracking.

Internal feedback highlights that claims can now be opened, tracked and finalized in significantly less time, with fewer errors and far better visibility across teams. The modular nature of the application allows for quick updates and feature additions as the business grows.
